Job Description Summary:
Assistant to an administrator (director or above), including scheduling and sending correspondence on behalf of the administrator and/or department. Prepares project and grant budgets for use in planning, policy making and program evaluation. Compiles information, prepares reports and is involved in implementing departmental policies.

Required Qualifications:
Education:
Bachelor's Degree preferred; experience may replace degree based on years of experience.

Work Experience:
One year of experience in an office setting
Experience in Microsoft software especially Outlook at a proficient level

Strong customer service skills
Someone who takes pride in multitasking and making deadlines
Self-starter and problem-solver

Job Duties Outlined:
Prepare letters, faxes, emails; schedule online (i.e., Teams; Zoom) meetings, manage conference scheduling; ensure smooth day to day operations (computer, phone and other equipment ordering, servicing & inventory order supplies).
Assist the Program Manager with streamlining the student evaluation and grading process (collection of evaluations, grade tracking, and appropriate electronic filing of evaluations.).
Assist the Program Manager with student information sheets (photo rosters, welcome packets for preceptors, etc.).
Assists the Program Manager with updating schedule systems to ensure that students and preceptors are aware of student schedules.
As requested, scheduling project and management-related appointments for the division faculty.
Schedule division meetings and take minutes; assist with sending reminders to faculty/staff who have assignments identified during meetings.
Assist the Program Manager in developing an annual faculty community preceptor retreat.
Provide backup assistance for proctoring on an as needed basis.
Collect patient stories and provide to the assistant program director on a rotational basis.
Assist the Program Manager with ensuring appropriate enrollment for each class.
Other duties as assigned.
