Location: Rochester, Minnesota

Description: Foundation for Anesthesia Education and Research (FAER) is currently seeking to employ Administrative Assistant right now, this position will be dwelled in Minnesota. Detailed specification about this position opportunity kindly read the description below. Position Summary:
Provide broad administrative and clerical support for FAER staff. Perform duties independently and demonstrate confidence and take ownership in handling questions, phone calls, arranging travel schedule, etc. of principals located both on-site and remotely. Provides full secretarial support for FAER and assumes responsibility for delegated administrative tasks.

Position Responsibilities:

  • Major Activity: Efficiently manage and prioritize a large number of projects and tasks concurrently that support multiple team members while working independently with minimal oversight.
  • Major Activity: Provide administrative and clerical support to FAER staff located both on and remotely, including, but not limited to, word processing, faxing, filing, photocopying, answering phone calls/email requests, recording/transcribing meeting minutes, and maintaining office supply inventory.
  • Major Activity: Arrange and schedule detailed meetings and conference calls, facilitate hosting conference calls and web-based video conference calls, prepare agendas, book travel, maintain appointment calendars, and ensure appropriate follow-up for FAER staff and, as appropriate, Board and committee members.
  • Major Activity: Effectively communicate with a variety of FAER stakeholders, including Board members, grant recipients, program participants, donors, and American Society of Anesthesiologists staff and physician members. This requires a high level of finesse, diplomacy and professionalism.
  • Major Activity: Process donor gifts, including gift information entry into Raiser’s Edge, a donor/constituent management software, creating acknowledgment letters, obtaining the appropriate signatures before mailing, and making appropriate copies for office files.
  • Major Activity: Prepare mailings, extracting contact information from Raiser’s Edge, fact checking, creating and executing mail merges, and folding letters and stuffing envelopes.
  • Major Activity: Assist with Raiser’s Edge database data entry and maintenance.
  • Major Activity: Proofread reports, presentations, program materials, communications and publications.
Education and Training:
  • Associate’s Degree required, Bachelor’s Degree preferred.
  • Proficiency with Microsoft Office software, in particular Microsoft Excel and Microsoft Word.
  • Proficiency with web-based publishing tools and content management systems required. Experience using Google for Non-profits, Gmail, Google Calendar and Google Documents desirable.
Work Experience:
  • Minimum five years experience working as an administrative assistant or in advanced support role.
  • Experience with use of and data entry into large database systems required. Raiser’s Edge knowledge a plus.
  • Experience with foundation, non-profit or fundraising organization helpful.
  • Experience working with healthcare providers and their team members a plus.

Physical Demands/Work Environment:
<5% Travel to meetings required. Will spend the majority of the workday sitting, computing, and talking. Work is performed in an office environment with light/moderate noise. Work may be frequently interrupted. Ability to lift up to 15 pounds. OSHA Category III: position whose tasks/duties will not put them at risk for exposure to blood and other potentially infectious materials, therefore, universal/standard precautions are not required.
