Nourish Osteo & Wellness (NOW) is looking for a part time office manager to work across our 2 locations, Oakland & Albany. Most hours will be in the office with a few hours flexible and virtual. This position has the potential to grow into a full time position for the right candidate looking to be invested in the growth and development of a wellness center with a clear vision of expansion centered around providing high quality alternative wellness options for the community.

Nourish is an expanding wellness center that offers one-on-one appointments with osteopathic manual therapists (internationally trained, non physician) and massage therapists. We have a newly opened yoga studio and rent our space out for workshops and special events in Oakland. In Albany we have an infrared sauna for use by clients and the general public. Some treatment rooms are utilized by subletters.

The NOW office manager is the gatekeeper of the clinic and is responsible for the daily running of a nurturing, caring and efficient private practice allowing our practitioners and teachers to focus and do their job at a high level. This includes a smooth running of the front office responsibilities as well as support, inspiration and direction to all staff. You will be reporting directly to the clinic director and will collaborate and communicate with our yoga studio coordinator.

Essential Duties and Responsibilities:

  • Directs daily operations of the front office;
  • Manages day-to day operations of the wellness center;
  • Communicates with clients and prospective clients to ensure their questions are answered, needs are met, appointments are booked and rebooked;
  • Superb client focussed telephone and email communications;
  • Tracking phone calls and call conversions
  • Effectively retain prospective clients through education of offerings and understanding of benefits (training provided);
  • Implementation of clinical systems to ensure smooth daily operations
  • Oversees client scheduling, invoices and payments. Software, Noterro (training provided)
  • Oversees running and co-ordination of studio with Mindbody software
  • Oversees practitioners schedules to ensure optimal utilization through management of waitlists and marketing;
  • Client education on other offerings - yoga/workshops/sauna
  • Marketing strategizing and execution as directed by the clinic director, collaboration also encouraged.
  • Working closely with the clinic director and studio coordinator on structure, offerings and expansion of the yoga studio.
  • Complete weekly financial reports via google sheets
  • Tracking of marketing, google ads, meta business suite
  • Performs other duties as directed, developed or assigned.
  • KPI’s are used to track some of the above responsibilities

Education and/or Experience:

  • Bachelor's Degree
  • Passionate about alternative health and wellness
  • Experience in health care/wellness setting, possibly a practitioner themselves; or experience in an administrative role with a high level of responsibility; or experience in a managerial position;
  • Expertise in public relations and marketing communications, an asset
  • Computer experience with proficiency with Google Doc, Google Sheets
  • Proficiency in Canva or an eye for design an asset

Language Skill:

  • Excellent customer service and communication skills
  • Strong verbal, written, and interpersonal skills

Reasoning ability:

  • Ability to problem solve and be self-motivated with exceptional attention to detail

Job Type: Part-time

Pay: $25.00 - $30.00 per hour
