Responsibilities:
The Security Administrative Coordinator oversees the process for Incident Reporting.
Examples of Duties, includes but is not limited to the following:

1. Receiving initial reports prepared by Security Management.
2. Ensuring Each area of the report is completed in its entirety.
3. Proofreading entire report to ensure proper grammar and spelling and making necessary corrections in MS Shift.
4. Review and save surveillance (If surveillance is necessary to the report)
5. Returning reports to preparers for updating/corrections/surveillance
6. Keeping a log to track:
  • Date of incident/date initially received report.
  • Date report returned to preparer for edits (if necessary to enhance content)
  • Date completed report returned to Coordinator.
  • Date turned into Exec. Admin for final approval.
  • The total process does not exceed 5 days.
7. Answer telephones and transfer to appropriate staff member
8. Create and modify documents using Microsoft Office
9. Maintain confidentiality in all aspects of client, staff, and agency information.
10. Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing.
11. Organize and maintain the departmental filing system to include general files, patrol/incident files, and trace files.
12. Setup and coordinate departmental meetings.
13. Support staff in assigned project-based work.
14. Prepare responses to correspondence containing routine inquiries.
15. Perform other duties as assigned.

Qualifications:
  • Computer literate.
  • Good writing, analytical and problem-solving skills.
  • Knowledge of principles and practices of organization, planning, record management, and general administration.
  • Ability to communicate effectively.
  • Ability to operate standard office equipment, including but not limited to computers, telephone systems, typewriters, calculators, copiers, and facsimile machines.
  • Ability to follow oral and written instructions.
