Position Overview

The Division of Mental Health is seeking to hire an Office Associate for the Chester Mental Health Center located in Chester, Illinois to perform a variety of complex specialized keyboarding and clerical functions for the supervisory and professional staff. Transcribes documents which contain medical, psychiatric, psychological, and legal terminology. Maintains all patient clinical files. Maintains a database for notifying all medical/psychiatric/clinical staff of scheduled dates for psychiatric, psychological, social work and treatment plan reviews.

Job Responsibilities

  • Performs a variety of complex specialized keyboarding and clerical functions for the supervisory and professional staff.

  • Provides clerical office support as a secretary to unit administrative and professional staff through keyboarding a variety of correspondence, e.g., letters, memorandums, schedules, notices, etc., from handwritten hard copy, prerecorded or voice dictation.

  • Maintains all patient clinical files in accordance with the facility’s Clinical Entry Record Guidelines.

  • Utilizing software programs, maintains a database for notifying all medical/psychiatric/clinical staff of scheduled dates for psychiatric, psychological, social work, and treatment plan reviews.

  • Keyboards and distributes DMH-30 (Referrals).

  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental Development equivalent to completion of high school and two years of office experience.
  • Requires ability to keyboard accurately at a rate of 45 wpm.

Conditions of Employment

  • Requires the ability to utilize office equipment, including personal computers and Microsoft Office Software.
  • Requires the ability to meet all agency vaccine/health-related policies and guidance.
  • Requires the ability to pass the Illinois Department of Human Services background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
